By submitting documents or placing an order with us, you acknowledge that you have read and agree to the following terms.
Service Scope
San Diego City Notary and Apostille provides professional document services to individuals, businesses, and legal entities throughout San Diego and the surrounding region. Our services include, but are not limited to:
- Mobile and in-office notarization
- California Apostille processing through the California Secretary of State
- Federal Apostille processing through the U.S. Department of State
- Certified document translation
- LiveScan fingerprinting for employment, licensing, and background check purposes
- DMV services including vehicle title transfers and registration assistance
We handle every order with strict confidentiality. Your documents are treated with care from the moment they are received through the time they are returned to you.

Document Requirements
It is your responsibility to confirm the specific document requirements of your accepting agency, institution, or foreign authority before submitting documents to us for processing.
The following apply to all document submissions:
- All documents submitted for notarization must contain proper notarial wording in compliance with California notary law. Documents that do not meet state requirements will not be notarized and will be returned.
- All signatures must be original. Photocopied or digitally reproduced signatures are not acceptable and will result in rejection and processing delays.
- Notarized documents submitted for apostille must bear an original notary signature, seal, and expiration date that matches current state records.
- San Diego City Notary and Apostille is not responsible for documents rejected by the California Secretary of State, the U.S. Department of State, or any foreign authority due to incorrect document versions, missing information, expired dates, or any other deficiency outside of our control.
- We strongly recommend keeping copies of all documents before submitting originals. We are not liable for documents lost or damaged during government agency processing.
- For LiveScan appointments, clients must present valid government-issued photo identification at the time of the appointment. Appointments cannot proceed without proper ID.
- For certified translations, source documents must be legible. We cannot guarantee acceptance of translations derived from damaged, incomplete, or illegible originals.
Payment Terms
Full payment is required at the time of service or before processing begins, unless a prior billing arrangement has been established in writing.
We accept the following payment methods: cash, credit card, debit card, PayPal, Zelle, and business check.
Additional payment terms:
- Orders submitted without payment will not be processed until payment is received in full.
- Returned or bounced checks will result in a $35 returned check fee. Processing will be paused until the balance and fee are paid in full.
- No documents will be released until all outstanding balances are cleared.
- Government agency fees, third-party courier fees, and state-mandated charges are separate from our service fees and are the client’s responsibility.
Refund and Cancellation Policy
Once document processing has begun, no refunds will be issued on service fees.
- Orders canceled before processing begins are subject to a 30% cancellation fee to cover administrative and handling costs.
- If documents have already been shipped to a government agency for processing, the full service fee applies and no refund will be issued.
- Refunds do not apply to government fees, state filing fees, or third-party costs that have already been paid on the client’s behalf.
- Scheduling fees for LiveScan or mobile notary appointments that are canceled with less than 24 hours notice may not be refundable.

We are not liable for:
- Processing delays caused by government agencies, the California Secretary of State, the U.S. Department of State, or any consulate or embassy
- Delays or failures caused by extreme weather, natural disasters, or circumstances outside our control
- Documents that are rejected by an accepting agency due to incomplete information, expired validity, incorrect document type, or any reason unrelated to our handling
- Errors in documents that were pre-existing at the time of submission
San Diego City Notary and Apostille exercises reasonable professional care in handling all documents. However, submitting your documents to us does not guarantee acceptance by any government body or foreign authority.
Shipping and Document Handling
We ship completed documents via FedEx, UPS, USPS Priority Mail, or other tracked carrier services based on your preference and timeline.
Please note the following:
- San Diego City Notary and Apostille is not responsible for documents lost, stolen, delayed, or damaged while in transit with a courier or postal carrier.
- Liability for documents in transit is limited to the coverage provided by the shipping carrier selected.
- We strongly recommend requesting signature confirmation and keeping a complete copy of all documents before shipment.
- International shipping is available. Clients are responsible for any customs delays, duties, or foreign delivery issues outside of our control.

San Diego City Notary and Apostille is a private business. We are not affiliated with, endorsed by, or acting on behalf of any government agency, including but not limited to:
- The California Secretary of State
- The U.S. Department of State
- The California Department of Motor Vehicles
- The California Department of Justice

The California Secretary of State in Sacramento is the official issuing authority for California Apostilles. The U.S. Department of State is the official issuing authority for Federal Apostilles. San Diego City Notary and Apostille acts as a professional intermediary to assist clients through these processes.
